Your 12 Month Wedding Planning Checklist (So You Never Feel Lost)

Congratulations! You just got engaged and your hand probably still has not stopped shaking from showing everyone the ring. Soak it in. This is such a good season of life.

But somewhere between the celebrating and the "so when's the wedding?," a little voice starts asking, okay, where do I even begin? That is exactly why I built this wedding planning checklist, (you can print it here to stay organized). Month by month, task by task, so you always know what to focus on next instead of feeling like you have to do it all today.

12 Months Out: Dream Big and Book Your Coordinator

This is the fun part. Before you book a single thing, sit down together and talk about what you actually want your day to feel like.

• Set your budget and talk honestly about who is contributing

• Start a Pinterest board and just save whatever catches your eye

• Draft a rough guest count

• Book your wedding coordinator now. This is earlier than most people expect, but good coordinators (myself included) often book a year or more in advance, especially for popular wedding months. Booking early means you get their eye on your venue and vendor choices from the very beginning, not just at the end.

• Pick your season and a few possible dates

11 Months Out: Lock In the Big Stuff

Your venue and date are the foundation everything else builds on, so this is the month to make it official.

• Book your venue and confirm your date

• Book your photographer and videographer, they get booked up fast

• Start building your wedding website

• Ask your closest people to be in your wedding party

10 Months Out: Say Yes to the Dress

Dresses and suits often need months for ordering and alterations, so this is the month to start trying things on.

• Start dress shopping and order once you find the one

• Begin researching caterers

• Book your officiant

9 Months Out: Bring in the Vendors

Now we start filling in the people who bring the whole vision to life.

• Book your florist

• Book your DJ or band

• Book your hair and makeup artist and schedule a trial

• Send save the dates

8 Months Out: Build Your Guest List the Smart Way

This is one of the parts of planning that feels simple on the surface but can get emotional fast, so let's make it easy.

A lot of couples do not realize you can invite people in waves. This is called the A-list and B-list method, and it takes so much pressure off.

Your A-list is everyone you cannot imagine your day without. Immediate family, your closest friends, the people who have to be there.

Your B-list is everyone else you would love to have if your numbers allow it. Extended family, coworkers, family friends.

Here is why this method works. On average, about 15 to 20 percent of the people you invite will decline your invitation. So if you invite 100 guests, you can realistically expect around 80 to 85 to actually attend. That gap is exactly where your B-list comes in. As A-list declines come in, you invite from your B-list to fill those spots, all before your final headcount is due to your venue and caterer.

• Build your A-list first and get your final count as close to your venue capacity as you can

• Build your B-list as a backup, not an afterthought

• Choose and order your invitations

• Book any rental items you need, tables, chairs, linens, arches

7 Months Out: Plan the Fun Stuff

Time to think about the parts of the day that make it feel like you.

• Book your honeymoon

• Plan your bridal shower and bachelor or bachelorette party dates

• Finalize your ceremony structure with your officiant

• Order suits or finalize groomsmen attire

6 Months Out: Taste Test Everything

Yes, this is the month you get to eat cake for research purposes.

• Schedule your cake tasting

• Finalize your menu with your caterer

• Book your transportation

• Buy your wedding bands

5 Months Out: Paper and Details

The little things start coming together now, and they matter more than you think.

• Finalize your florals and decor details

• Book any additional vendors like a photo booth, reception experiences or specialty rentals

• Start writing your vows

• Confirm your rehearsal dinner plans

4 Months Out: Fittings and Final Touches

Your dress and suit fittings usually happen around now, so enjoy watching it all come together.

• First dress and suit fittings

• Finalize your ceremony readings and music

• Send save the dates a reminder nudge if needed

• Start finalizing your seating chart draft

3 Months Out: Get Legal and Send Invitations

Not the most romantic month, but an important one.

• Apply for your marriage license (check your state's timing rules)

• Mail your invitations, giving guests about 8 weeks to respond

• Start tracking RSVPs as they come in, and remember that gap we talked about, this is when your B-list becomes useful

• Confirm final details with every vendor

2 Months Out: Final Fittings and Final Counts

Things start to feel very real this month, in the best way.

• Final dress and suit fittings

• Send invites to any B-list guests if you have room

• Write final vendor payments into your calendar

• Break in your wedding shoes

1 Month Out: Tie Up Every Loose End

This is the month to trust your planning and start handing things off.

• Confirm final timeline with every vendor

• Give your final headcount to your caterer

• Pack for your honeymoon

• Delegate day of tasks to your coordinator or a trusted friend so you are not the one answering questions on your wedding day

2 Weeks Out: Everything is Coming Together

Final counts and details.

• If you have a day-of-coordinator have a final meeting

• Give final headcount to your venue and coordinator

• Pass along your shot-list to your photographer

• Confirm timeline with DJ and song requests

• Finalize your vows

Wedding Week: Just Breathe

You did the work. Now let it happen.

• Give your vendors the chosen day-of contact

• Press and steam your wedding outfits

• Hand off any last minute items to your coordinator or point person

• Get a manicure, get some sleep, and stay hydrated

• Take a moment, just the two of you, before the day gets going

Remember to pause and soak it all in.

• Write any final checks and put together tip envelopes

• Hand off marriage certificate and wedding rings

• Bring centerpieces and decor to venue

• Rehearse your ceremony at the venue

• Soak in your rehearsal dinner before the big day
